What is IVA360 Mail

IVA360 Mail is a corporate mail service of the IVA 360 platform, which allows companies to organize a secure, stable, and manageable mail infrastructure. The service is suitable for both small teams and large organizations with thousands of users.

With IVA360 Mail, an administrator can connect a corporate domain, create mailboxes for employees, configure email routing, enable spam protection, and ensure compliance with the company's security requirements.

IVA360 Mail supports modern mechanisms for protecting and checking outgoing and incoming messages. This helps reduce the amount of spam, prevent sender address spoofing, and increase trust in the organization's email messages.

Connection and Getting Started

There are two options available for activating the service:

  • test the service on the public domain iva360-mail.ru
  • connect your own domain to the service

Mail on the public domain iva360-mail.ru

If the organization does not have its own domain or needs to quickly test the capabilities of Mail, the administrator can create mailboxes on the public domain iva360-mail.ru. This option allows you to start working with the mail service without prior DNS configuration and domain verification.

Mailboxes on the public domain are suitable for:

  • quickly getting acquainted with the capabilities of IVA360 Mail;
  • pilot use and testing;
  • temporary or project teams;
  • individual use of IVA 360 services.

When using the public domain, basic mail functions are available, including sending and receiving emails, working with attachments, and integration with other IVA 360 services.

Limitations of the public domain:

  • the email address has the format username@iva360-mail.ru;
  • the domain cannot be used for branded corporate mail;
  • some administrative settings may be unavailable.

To create a mailbox on the public domain:

  1. open the Mailboxes section in the IVA 360 panel;

  2. select "Create Mailbox"

  3. specify the username and select the domain iva360-mail.ru;

  4. Save changes

IMPORTANT

In the modal window that opens, copy and save the email credentials, they are needed to access the WEB interface and for setting up email clients.

Activation of your own domain

To use corporate mail, it is necessary to connect the company's domain. This allows you to create corporate addresses like username@company.ru and manage the organization's mail infrastructure.

After activating the service, the administrator can perform basic mail setup for the organization:

  • add the organization's domain;
  • obtain DNS records (MX, SPF, DKIM, DMARC);
  • check the domain status.

Step 1: Connecting the domain

  1. Go to the Mail and Calendar -> Mail Domains section:
  2. Click on Add Mail Domain, specify your domain and proceed to the domain resource retrieval step.

Step 2: Domain ownership confirmation

  1. After saving the domain record, enter the specified records in the DNS at your domain registrar

Step 3: Waiting for successful verification.

If you entered the records immediately, you can proceed to verification, but updating DNS records may take several hours.

Managing Mailboxes

An administrator can create personal mailboxes for employees or new mailboxes for employees who do not yet have access to IVA 360 products.

To do this:

  1. Open the Mail Domains section
  2. Open the context menu on the domain you need and click Create Mailbox
  3. In the modal window that opens:
    • the mailbox will be created on the target domain
    • you can specify the user's full name
      • the mailbox can be linked to an existing user
  4. After creation, the login data will be displayed in the modal window, copy and pass them to the owner.

Migration from other mail services

If the organization previously used another corporate mail, the system allows you to transfer existing mailboxes and emails to IVA 360. To make your move fast and easy, contact our support at support@iva360.ru.
